Privacy Policy

We take your privacy seriously. This policy explains how Spearhead Eduventures LLP collects, uses, and protects your information.

1. Information We Collect

We collect information you provide directly, including your name, email address, phone number, academic details, and messages when you create an account, submit enquiries, use live chat, or write reviews. While you use live chat, draft text may be transmitted as you type so an authorised support team member can prepare a timely response, even before you press send. We restrict that access to authorised support personnel and use it only to operate the conversation. We also automatically collect device information, location data, and usage analytics through cookies and tools like Google Analytics to improve our platform and localise your search results.

2. Push Notifications & Device Permissions

When you use Admission Guardian as a Progressive Web App, we may request the following browser or device permissions: (a) Notifications (Push) - Send chat messages, counselor replies, and exam alerts through browser web push where supported. Optional - you can deny or disable notifications at any time in browser or device settings. (b) Camera - Upload profile photos or share images in chat. Only when you choose to upload. (c) Location (approximate) - Show nearby colleges and personalize search results. Optional - you can deny or use the app without it. (d) Storage / File Access - Upload documents for counselor review. Only when you choose to upload. (e) Biometric Authentication - We use device-native biometrics (fingerprint/face unlock) for secure app access. We do not collect, store, or transmit your biometric data to our servers; it remains securely on your device. Push Notification Data: When you enable push notifications, we store the browser push subscription needed to deliver those alerts. This subscription: (a) Does NOT identify you personally (b) Is stored alongside your account to deliver relevant notifications (c) Is never shared with third parties (d) Is deleted when you disable notifications or delete your account You can disable push notifications at any time via: (a) Browser: Site Settings → Notifications → Block (b) Installed web app: Your browser or device notification settings

3. How We Use Your Information

We use your information to: (a) provide and personalise our services; (b) process enquiries and connect you with institutions; (c) send relevant notifications and updates; (d) improve our platform through analytics; (e) comply with legal obligations.

4. Data Sharing & Shortlist Consent

When you submit an admission enquiry, counselling request, or college prediction lead, we process the name, phone number, academic details, and search preferences you provide so we can respond with admission guidance. Submitting one of these requests asks Admission Guardian to provide counselling support and permits us to share those submitted details with relevant partner colleges and counsellors solely for that purpose. The form includes a required acknowledgement linking to this Policy before submission. We do not sell your personal data to third-party marketers or data brokers. When you shortlist a college, you may separately grant that college permission to view your profile and contact you. You can enable or disable shortlist contact consent at any time from Dashboard → Preferences. It is off by default. If disabled, colleges you shortlist will not receive your contact information through the shortlist feature. We also share data with service providers that operate the Platform, subject to confidentiality and data-protection obligations.

5. AI-Assisted Chat and Automated Tools

Admission Guardian uses artificial intelligence in live chat to understand what you are asking and to prepare a useful response. When you send a chat message, we may send the minimum necessary parts of that message and recent conversation to DeepSeek, or another contracted AI service provider, so the system can decide whether to respond conversationally, search our public admission information, run an Admission Guardian predictor, ask for a missing academic detail, or refer the request to a person. Before text is sent for external AI processing, we use automated filters to remove phone numbers, email addresses, and common labelled identifiers such as Aadhaar, passport, application, registration, roll numbers, and dates of birth where detected. We also exclude private staff notes. Automated filters are not perfect, so you should not enter passwords, OTPs, payment card details, Aadhaar or passport numbers, private documents, medical information, or any other information that is not needed for admission guidance. The remaining text may include academic information you choose to provide, such as your exam, score or rank, category, preferred location, course, budget, or college interests. The AI system is restricted to approved Admission Guardian actions. It cannot access arbitrary private records, make payments, contact a college on its own, or change predictor calculations. Predictors and other admission tools use Admission Guardian's controlled calculations and data; AI may select the appropriate tool and explain its result, but it does not make a binding admission, eligibility, counselling, financial, or legal decision. AI-generated responses can be incomplete or incorrect. Important dates, fees, eligibility rules, cutoffs, and admission decisions should be confirmed from the cited source or the relevant official authority. You may ask for a counsellor or support team member to review a response. AI service providers may process the limited text sent to them on infrastructure outside India, subject to applicable law and the provider arrangements used by Admission Guardian. We retain the conversation and related operational records under the retention terms in this Policy. You may exercise the access, correction, deletion, and grievance rights described below.

6. Third-Party Integrations

We rely on secure third-party services to operate Admission Guardian. These include Supabase (database), DeepSeek (AI-assisted interpretation and response generation), Google Auth and Truecaller SDK (authentication), Google Analytics (usage tracking), and PayU and PhonePe (payment gateways for institution ad campaigns). We do not store raw payment or credit card details on our servers.

7. Cookies and Tracking

We use cookies and similar technologies to maintain sessions, remember preferences, and analyse usage. You can control cookie settings through your browser. Disabling cookies may affect certain features of the Platform.

8. Data Security

We implement industry-standard security measures including SSL encryption, access controls, and regular security audits to protect your information. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

9. Data Retention

We retain your personal information for at least 3 years, or for as long as your account is active, to provide continuous career and admission support. You may request the deletion of your account and associated data at any time by contacting us, subject to certain legal retention requirements.

10. Offline & Local Storage

When you use Admission Guardian as an installed app, certain data may be stored on your device for offline access: (a) Recently viewed college and course pages (cached for faster loading) (b) Search preferences and filters (c) Your shortlist (saved colleges and courses) This data stays on your device and is cleared when you clear your browser/app cache. We do not access this locally stored data for analytics or tracking purposes. Sensitive personal information (messages, account details) is never stored offline.

11. This Policy Applies to the App

This Privacy Policy governs your use of Admission Guardian whether accessed via: (a) Our website at admissionguardian.com (b) The installed Progressive Web App (PWA) on any device (c) The Android app distributed through Google Play (via Capacitor WebView) (d) Any other platform where we make our services available

12. Your Rights

Under applicable data protection laws, you have the right to: (a) access the personal data we hold about you; (b) correct inaccurate data; (c) request deletion of your data; (d) withdraw consent for marketing communications; (e) lodge a complaint with the relevant data protection authority.

13. Children's Privacy & Minors

Under India's Digital Personal Data Protection Act 2023 (DPDP Act) §9, a 'child' is defined as any data principal below the age of 18. Admission Guardian complies strictly with this standard. Admission and counselling forms that collect contact details are intended for adults. A person under 18 should use these forms only through a parent or lawful guardian, who must provide the details and required consent on the student's behalf. (a) Verifiable Parental/Guardian Consent - Before we process the personal data of any user who has not attained the age of 18, we require verifiable consent from their parent or lawful guardian. Data collected from a minor will not be further processed or shared unless such consent has been obtained and recorded. (b) Prohibition on Behavioural Tracking & Targeted Advertising - Admission Guardian does not engage in behavioural tracking, profiling, or targeted advertising directed at users we know to be minors. Personalised advertisements based on tracked activity are disabled for minor accounts. (c) Data Sharing Restrictions - For users identified as minors, we do not forward their contact details to third-party colleges, counsellors, or partners unless verifiable guardian consent has been obtained. Telegram and CRM dispatch are automatically suppressed for minor leads. (d) Inadvertent Collection - If we discover that we have inadvertently collected personal data from a minor without valid guardian consent, we will take immediate steps to delete or irreversibly anonymise that data and notify the guardian where contactable. Parents or guardians who believe their child has provided us with personal information without their consent may contact our Data Protection Officer at [email protected] for prompt removal.

14. Third-Party Links

The Platform may contain links to third-party websites, including official college and exam portals. We are not responsible for the privacy practices or content of these external sites. We encourage you to review their privacy policies.

15. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on the Platform. Your continued use of the Platform after changes constitutes acceptance of the updated policy.
